Vallis Solutions LLC (“Vallis Solutions,” “we,” “our,” or “us”) operates the website vallissolutions.com (the “Site”). This Privacy Policy explains what information we collect when you visit the Site or submit an inquiry, how we use that information, and the choices available to you. We are committed to handling your information with the same rigor we apply to protecting our clients’ data.

Information you provide directly

When you complete the contact form on our Site, we collect the information you submit, which may include your name, work email address, firm or organization name, the service you selected as your interest, and any message content you choose to include. Submitting this form is voluntary; you are not required to provide any information to browse the Site.

Do not submit sensitive records through the Site. The contact form is not a secure client portal and is not a HIPAA-covered channel. Do not include Social Security numbers, tax returns, patient or protected health information (PHI), credit applications, account numbers, case files, or other confidential client records in a website inquiry. If an engagement proceeds, we will collect only what is needed through channels specified in a signed agreement.

Automatically collected information

When you visit the Site, our hosting and content-delivery infrastructure (Amazon S3 and Amazon CloudFront) may record standard technical logs, which can include your IP address, browser type and version, operating system, referring URL, pages requested, and the date and time of your visit. This information is used to operate, secure, and troubleshoot the Site. We do not currently use third-party advertising cookies, marketing pixels, or analytics products that build individual marketing profiles.

The Site loads web fonts from Google Fonts. Google may receive your IP address and related technical data when your browser requests those font files, under Google’s own privacy terms.

2. How We Use Your Information

We use the information we collect for the following purposes:

• To respond to your inquiry. Contact form submissions are used solely to respond to your request, provide information about our services, and schedule introductory conversations.
• To provide IT, compliance, cybersecurity, private AI, automation, and web development services. If an engagement progresses, information you have shared may be used to scope, deliver, and support the services described in a signed Master Services Agreement.
• Not to train public AI models. We do not use website inquiries, or client files entrusted to us under an engagement, to train public or third-party large-language models.
• To communicate with you. We may send you follow-up messages related to your inquiry or, where you have consented, informational updates about our services. You may opt out of non-transactional communications at any time by contacting us directly.
• To improve the Site. Aggregate analytics data is used to understand Site usage patterns and improve content and user experience.
• To maintain security. Technical log data may be used to detect, investigate, and respond to unauthorized access, fraud, or other security incidents.

We do not sell, rent, or trade your personal information to third parties for their own marketing purposes.

3. Third-Party Processors

We may share your information with trusted third-party service providers who assist us in operating the Site and delivering our services, strictly as necessary and under appropriate confidentiality and data-processing obligations. These processors may include:

• Form handling. Contact form submissions are processed by Formspree, which receives your message and routes it to us. Formspree operates under its own privacy policy and security standards.
• Website hosting and infrastructure. The Site is hosted on Amazon Web Services (S3) and delivered through Amazon CloudFront. AWS may process server log data as part of normal hosting and content-delivery operations.
• Fonts. Web fonts are served by Google Fonts, as described above.
• Payment processing. If payment for services is processed electronically, it is handled securely by PCI-DSS-compliant third-party processors such as Stripe. Vallis Solutions does not store payment card data on its own systems.

We do not authorize third-party processors to use your information for any purpose beyond what is necessary to perform services on our behalf.

4. Data Security

As a cybersecurity firm, we take the protection of your information seriously. We maintain reasonable and appropriate administrative, technical, and physical safeguards to protect the information we hold against unauthorized access, use, disclosure, alteration, or destruction. These measures are consistent with the same standards we help our clients implement under frameworks such as the FTC Safeguards Rule, IRS Publication 4557, and HIPAA-conscious security practices for professional firms. This website itself is not a substitute for a client engagement, a Business Associate Agreement, or a HIPAA-covered environment.

However, no method of transmission over the internet, and no electronic storage system, is 100% secure. While we strive to protect your information using commercially reasonable means, we cannot guarantee its absolute security. You transmit information to us at your own risk. 5. Data Retention

We retain contact form submissions and related correspondence for as long as necessary to respond to your inquiry and, if an engagement follows, for the duration of the business relationship and any applicable legal retention period thereafter. Server log data are typically retained on a rolling basis and purged automatically after a defined period. You may request deletion of your personal information by contacting us as described below.

Depending on your jurisdiction, you may have certain rights with respect to your personal information, including the right to access, correct, delete, or object to the processing of your data.
